Job Description:
The Operations Manager I possesses thorough knowledge of customer service, facility management, building maintenance practices, as well as the policies and values of the client. This position manages and coordinates the team that oversees facility operations and minor maintenance. The team will ensure the client provides a workplace that is the model of efficiency, comfort, and fun. In addition, the Operations Manager will focus on the needs and requirements of the client in order to achieve extraordinary service practices and exceed client expectations, while working closely with end-users, as well as outside vendors and contractors.
The Operations Manager I is responsible for managing all associates within a campus, up to 75 associates, and directly oversees Facilities Coordinators. Individual is responsible for managing up to 5 million square feet, and up to $5 million in annual budget.
Essential Duties and Responsibilities:
Facility Coordination and Vendor Management duties include, but are not limited to:
- Develops facility standards and policies/procedures relating to day-to-day facilities operations; seeks to develop best practices.
- Ensures Facilities Coordinators are conducting the necessary building audits and training within zones
- Responsible for ongoing facilities innovation and development of environmental stewardship ideas
- Implements all necessary preventative maintenance tasks for campus.
- Plans and coordinates various operational projects across campus, collaborating with FCs and vendor coordination team.
- Vendor management responsibilities include, but are not limited to: vendor relations, coordinate with outside vendors, performance and quality level monitoring.
- Oversees and/or supports different internal departments including: call center, vendor coordination, safety, events, facilities coordinators, and all field based employees.
Safety and Security duties include, but are not limited to:
- Collaborates with Safety and Training Manager to ensure safety and security for the facility employees. Identifies safety hazards; remains up-to-date on changing OSHA and other safety regulations and trends.
- Functions as the after hours contact for property management, and participates in Google on-call list
Purchasing and Reporting duties include, but are not limited to:
- Identifies inventory needs for each zone in correlation with monthly budget, collaborating with inventory coordinator
- Identifies repair and maintenance trends for campus
- Responsible for day-to-day management of designated zone budgets, analyzing opportunities for cost savings
- Performs any additional tasks appointed by the Operations Manager II
Management duties include, but are not limited to:
- In collaboration with Human Resources Department, Participates in the hiring process of the team through evaluation of referrals and conducting interviews.
- Initiates professional development within the team through new hire and ongoing trainings, conducting and coordinating skills training and cross-training, leading staff meetings, conducting annual reviews, and other presentations.
- Administrative tasks may include such things as: approving invoices, approving and submitting bonus requests and monitoring time off approvals to ensure effective labor distribution and staffing..
- Applies necessary corrective action and coaching, up to and including termination.
- Performs any additional tasks appointed by the Operations Manager II
Education, Training and Experience:
The following generally describes the knowledge and abilities required to enter the job and/or be learned within a short period of time in order to successfully perform the assigned duties.
- Bachelor’s degree and minimum 4 years facility coordination experience with increasing levels of responsibility within facilities services; or equivalent combination of education and experience.
- Working knowledge of the Google campus and culture.
- Must possess exemplary leadership and communication skills
- Ability to meet deadlines and make sound decisions in stressful situations.
- Experience with vendor management.
- Strong customer service skills required.
- Ability to communicate effectively in verbal and written form.
- Creative problem solving skills.
- Ability to identify strong talent that complements and contributes to the client’s environment.
- Proficiency using Google Docs, GUTS Ticket Reporting and programs including MS Word, MS Excel, MS PowerPoint, MS Outlook.
