Job Description:

Will oversee the Conference Services Department by ensuring a consistent product to standards, while maximizing profitability and protecting the integrity of the guest experience.


Overall Responsibilities:


The Director of Conference Services is responsible for managing the Conferencing and Coordination at 4 local conference centers. This position will oversee 12 Conference Coordinators and 4 Conference Leads to ensure all services are being delivered to the Client in a timely, efficient and professional manner. The Director of Conference Services performs succession planning, coaching and counseling and reviews daily BEOs/protocols with all internal departments including Clients, AV, Catering and Set-up Team. The Operations Manager assists the GM in quality assurance focusing on core goals such as Platinum Service®, training, accuracy of reservations, speed of service, dress code policies, standard operating procedures, system integrity and execution of services. This role will work in conjunction with the Corporate Services Hospitality Team on all senior conferencing events. Will also be accountable for benchmarking customer service, customer interface including meet and greet, and overall performance of conference services. This is a high level senior position and the applicant must be able to interface with a very demanding clientele. Applicant will need to be have a minimum of 5 years Event planning and execution and the highest level. CMP degree or MPI affiliation is a plus.


KEY JOB DUTIES:



  • Work side by side with conference coordinators on organizing, directing and executing daily evening functions

  • Customer engagement and event execution

  • The execution and implementation of FLIK Platinum Service principles within the property

  • Ensuring that appropriate standard operating procedures are in place for all functions

  • Carrying out and or overseeing the implementation of necessary administrative duties

  • Working very closely with Food Service vendors, and ensure all related catering requests are entered in reservations system and executed successfully

  • Participating in daily and weekly planning meetings, reviewing the details of events which he or she has been working on, answering questions from staff members, and discussing relevant logistical matters

  • Participating in “pre-con” meetings involving the client, as well as relevant members of the operations staff, when plans for complex and/or large scale events are being finalized

  • Develop relationships with all facilities, housekeeping and vendors to ensure the event will be executed in a seamless manner




Necessary Ingredients:



  • Must have 5-10 years events management work experience (planning and execution)

  • Reservations system expert

  • Excellent organizational and administrative skills, with the ability to prioritize tasks

  • Ability to carry out responsibilities with little supervision, as well as juggle many tasks simultaneously

  • Ability to interact with customers in a professional and pleasant manner, on a daily basis

  • Ability to manage and mentor a diverse work force, providing associates with ongoing training and other opportunities for career development

  • Excellent oral and written communication skills

  • Strong computer skills and knowledge of office technology/equipment

  • Proficient with conference room reservation/space management systems

  • Punctual, dependable and dedicated to achieving operational excellence, down to the smallest of details

  • Discreet, ethical and committed to maintaining a high degree of confidentiality

  • A passion for delivering the Platinum Service Standard, so as to provide transformational service in hospitality

  • Ability to think strategically in terms of both short-term and long-term objectives and challenges

  • A mindset to take ownership and responsibility within and outside one’s job domain.

  • Relevant competencies would include self-confidence, willingness to learn and feeling comfortable with change and coordinating change

  • Demonstrating an appropriate level of assertiveness, with an ability to drive the business forward on an ongoing basis

  • A college graduate with several years of related experience and 3-5 years of supervisory experience
