Summary:
The Retail Experience Center (REC) represents a blend of merchandising strategies as a consumer goods company and its solution capabilities as a technology provider for the retail industry, the REC demonstrates Microsoft's ongoing commitment to exploring how technology-driven innovations can enhance consumers' lives and shopping experiences. The REC hosts Microsoft Customers as well as Microsoft Executives for Tours, Meetings and Events. This is a highly secure facility in which confidentiality is extremely crucial, both in regards to the content displayed as well as the guests visiting.
The REC Coordinator will be responsible for scheduling all tours, meetings and events for the REC. The REC Coordinator will also be responsible for all administrative responsibilities for the REC as well as ensuring that the REC’s facility appearance and maintenance are well kept. The REC Coordinator will also be responsible for preparing meeting agendas and newsletter content as well as maintaining role specific documentation and metrics. The REC Coordinator will be a go to person for both the REC guests as well as the clients – professionalism & a high level of customer service will be key.
Essential Functions & Responsibilities:
Tour & Event Planning Support
- Hospitality for domestic and international visitors
- Providing detailed information about the REC to potential guests
- Tour scheduling holds and data consolidation
- Obtaining tour confirmation from REC Assistant Operations Manager
Administration
- Front desk activities; such as greeting guests, answering phones, responding to e-mail, assisting with shipping & receiving deliveries, etc.
- Catalogue guests upon arrival
- Pay close attention to detail
- Management inbox & calendar
- Consistently ensure timely, thorough & thoughtful email responses
- Perform last minute requests & changes with ease & precision
- Manage all communications to respective stakeholders
Maintain Facility Appearance & Functionality
- Daily documented morning walk through of REC
- Ensure all areas of the REC (particularly lobby, conference rooms and showroom areas) are consistently clean, organized, and clutter free with devices, videos and other displays functioning properly on a daily basis.
- Proactively monitor and escalate any maintenance issues found
- Communicate details from Client or Manager to onsite vendors as needed
Documentation Updates
- Weekly meeting agenda preparation
- Newsletter preparationOversee and maintain the device check in process
- Support in the development of content for weekly & monthly newsletter
- Document the key take a ways for EPG Tours upon completion from the tour host
- Maintain a current Vendor Binder; including menus for catering / local restaurants, as well as any other printed info onsite guests may ask for
- Maintain Role Specific documentation
- Ongoing documentation of new or updated processes as they are defined, to be completed within three weeks of the change
- Bi-yearly clean-up of working files & documentation on SharePoint (July & December)
- Track & calculate metrics
- Ensure accurate documentation of tracking, calculations & over all metrics
- Analyze metrics to watch for trends & alert clients & direct manager when trends are recognized
- Update the items tracked as needed to fit the interest of the business
- Track & calculate monthly, quarterly & annual metrics

- Implement the Inclement Weather (IW) process as needed
- Document facility schedule and contact information for each session the IW packet
- Maintain current RAS access to have the ability to work from home if IW occurs prohibiting travel to work
- Maintain a current Emergency Response Plan (ERP)Maintain clean & safe work environment, perform job safely
- Attend/practice routine evacuation/fire drills
- Maintain a current CPR Certification
- Efficiently evacuate guests in the case of an emergency
- Other duties as assigned
Qualifications
To perform this job successfully, an individual must be able to perform each essential function satisfactorily.
Education & Experience
- College degree or equivalent experience.
- Bachelor’s Degree Preferred
- Minimum of three years’ experience in an operations, project or event management role preferred. Previous experience working in retail preferred. At minimum, strong desire to learn about Microsoft retail and organization
- Knowledgeable and passionate about Microsoft products - Excel, Word & Outlook, Internet Explorer, & SharePoint.
Language Skills
Ability to communicate with all levels of client management; tact in working with professional peers from other departments & all subordinates. Must have the ability to communicate & interact as a professional team member when working with peers from other departments & all subordinates.
Mathematical Skills
Equivalent to degree.
Reasoning Ability
Ability to think quickly & accurately, showing initiative & sound judgment.

A successful candidate will be a team player, have excellent communication & customer service skills, ability to prioritize & manage multiple tasks/projects, & the ability to handle last minute changes. Be able to show initiative & judgment when working with clients during events in resolving problems & addressing issues. Evaluates problems & make recommendations to person(s) involved. Be well versed in all aspects of event/meeting planning: room setups, security, transportation, catering, etc. A successful candidate must have an understanding of the scope of the REC & how their role is seen as integral in the success of Microsoft future business endeavors. They would also have some experience in managing projects as well as collecting data regarding those projects.
