Summary:


Management of events for Microsoft Meeting Solutions on the Puget Sound campuses, while providing the highest level of service to the Microsoft customer. Associate must possess experience in Catering Sales/Event Management; be well versed in all aspects of conference planning: audiovisual equipment, security, transportation, catering, etc.; ability to analyze client needs and requests; business management skills and time management skills; and initiative and judgment to quickly evaluate issues and find alternatives to decide on a plan of action. A successful candidate will be a team player; have excellent communication and customer service skills; ability to prioritize and manage multiple projects; and the ability to work under pressure and work additional hours as needed in a fast-paced environment with a high volume of events.



Responsibilities:



  • Associate is expected to supervise meeting/event set-ups – check in with set-up crews, AV crew, and the client throughout the event

  • Plan events in other venues on campus as requested.

  • Management of MMS event calendar and daily email and phone requests.

  • Ability to place event functions in properly sized rooms to maximize space utilization.

  • Work with customer to determine set ups, numbers attending, types of facilities required, meal arrangements, times and any special needs.

  • Type Banquet Event Orders and confirmations.

  • Thoroughly and professionally communicate available services, recommendations, MMs policies, associated fees and other event needs to the client via email, phone or in person.

  • Schedule appropriate interdepartmental/vendor meetings for the operational aspects of coordinating conference/meeting requirements, which include pre-planning meetings or a pre-conference meeting for the client and specific vendors.

  • Lead site visits to review event needs and specifications.

  • Prepare and follow through with event project timelines for each booking ensuring all details are covered.

  • Prepare resumes/agendas for meetings/conferences that are comprehensive in a timely fashion.

  • Prepare comprehensive post conference reports as determined by MMS.

  • Monitor personal email and MMS alias email with appropriate follow up with in the 24-hour service level agreement.

  • Provide guidance and be a resource for Event Services support teams and other vendors on site for the events.

  • Arrange for outside rentals as needed for all levels of service as requested.

  • Provide seamless management of events with very high-level customer service.

  • Communicate last minute changes and requests to team, confirm with the client and update event order.

  • Handle issues as they arise through the proper administrative channels.

  • Ability to remain calm and follow protocol during emergency situations.

  • Work with other departments and vendors to ensure all aspects of each function are covered.

  • Coordinates menu arrangements for events that manage revenues while serving the needs of the client.

  • Tour meeting rooms prior to each event to ensure proper set ups and preparations.

  • Meet and Greet customers upon arrival and throughout the event while the event is onsite.

  • Ensure accurate billing of services and that appropriate method of payment (cost center, IO, Purchase Order, credit card, check) is in place per the Microsoft Procurement policies, ensuring timely processing of all invoices.

  • Be well versed in Microsoft Meeting Solutions policies and procedures and provide excellent customer service while adhering to those policies.

  • Ensure event and catering forecasting and metrics are completed on a regular basis as outlined by the Events Manager, MS Client, and MMS Management in order to support the business goals and objectives.

  • Should actively work to bring as many meetings as possible to the Microsoft campus.

  • Stay informed with industry standards and share information with Event Team members.

  • Recommend policy changes, updates and service levels. Be aware of trends and potential issues.

  • Maintain clean and safe work environment; performs job safely.

  • Other duties as assigned by Events Manager, Director of Events, and MMS Management.


Qualifications:



  • Education and Experience: College Degree Preferred and a minimum of 3 years meeting planning experience. CMP certification a plus.


  • Language Skills: English




  • Mathematical Skills: Basic calculations and Excel knowledge




  • Reasoning Ability: Ability to continually evaluate situations and re-prioritize accordingly.




  • Other Qualifications: Proficient in Microsoft Software Programs including Outlook, Excel, Word, Visio; experience with the industry reservation tool; knowledge of meeting room sets; ability to operate a full line of audiovisual equipment; knowledge of catering resources; ability to type 60 wpm; excellent grammar and writing skills; excellent customer service skills; excellent communication skills.




  • Physical Demands: Must be able to lift 30 pounds

While performing the duties of this job, the associate is expected to engage in computer/desk work, speak with and correspond with clients, other associates, other departments, and outside vendors (via phone, email, or in-person), and will be sitting at a desk for the majority of the day. The associate will be required to perform meet and greets (checking in with clients) whenever needed. This associate will be working on high-profile, high-touch events that will require a large on-site presence. Some lifting and physical activity may be required when assisting on-site at an event.
