Job Description:
The Facilities Coordinator will be the on-site leader for our organization at the building. In the eyes of the client, this is the person that best represents our company. This role is expanding and one must have extremely strong written and verbal communication skills, organizational and time management skills with the highest level of customer service. The ability to multi-task and prioritize multiple requests is critical. The FC will develop, lead, and maintain a variety of facilities management services within a local setting for an international client and focus on the needs and requirements using best practices. This position requires a highly motivated individual to act as a liaison between facilities and key stakeholders, including vendors, clients, end-users, and senior levels of management as well as being an effective leader to promote internal development.
Responsibilities:
- Must provide the safest work environment for all staff, visitors, and contractors through a global program to identify risks and mitigate those risks utilizing approved safety methodologies.
- Work closely with established fire wardens and MERT team to ensure emergency response plans including evacuation, inclement weather, medical emergencies and after-hours emergency response and environmental health and safety are implemented and adhered to.
- Anticipate, recommend, and manage vendor contract services for health and life safety while implementing and maintaining best practices
- Review and verify vendor-provided reports and invoices.
- Source vendor quotes for recommended services.
- Communicate with vendors on purchase orders and payments.
- Work with project/construction teams to develop new space and provide solutions
- Coordinate and execute elements of opening new client space
- Ensure accurate data in space planning records via online tool
- Verify correct usage of existing space (conference rooms, huddle rooms, etc)
- Manage the execution of various site amenity programs remotely.
- Review and resolve outstanding ticket requests in a timely manner.
- Oversee and assist in specialty services provided on site.
- Willingness to be available after hours or in an emergency situation.
Qualifications:
- Bachelors, Associates Degree or Equivalent years in the industry
- 2+ years facilities experience
- 2+ years supervisory experience
- Commitment to hands-on, team oriented management, with the ability to thrive in a dynamic office environment.
- Excellent customer service and people skills complimented with strong creative problem solving skills
- Demonstrated ability to create/manage innovative projects to provide a collaborative work environment
- Excellent communication skills, both verbally and written.
- Develop tools and methods to promote efficient and effective operations with the ability to recognize inefficiencies and propose corrective actions
- Ability to multi-task and establish tasks of staff
- Ability to maintain detail and organization in a changing environment.
- Exhibit initiative, responsibility, and flexibility.
- Ability to meet deadlines and make sound decisions, sometimes under stress
- Develop and implement site-specific office standards, policies and procedures.
- Ability to identify inconsistencies in programs or procedures and communicate that upward in written proposal form.
- Ability to be subject matter expert resource in program with national impact.

- Posses extensive analytical skills with ability to obtain and transmit data points
- Proven ability to write proposals to recommend organization change
- Ability to identify, lead and develop strong talent to achieve business and career goals.
- Exhibit ability to write SOW’s and FSA’s with knowledge of Contracts
- Demonstrated ability to lead a project management team
